January Executive Board Meeting—Jan 5, 2012 at Tim Harazin’s home
Call to Order: 7:37pm
Members Present: Mary Vander Maten (President), Rick Jones (Vice-President), Al and Sandy Obuchowski (Membership Co-Chairs), Jessica Summer (Newsletter Editor), and Tim Harazin (Secretary)
Minutes: from Dec 1st (corrected) motioned and seconded—Al and Rick; approved
Treasurer’s Report: Paul Armstrong (not present)
· total assets on December 31st $14021.18
· correspondence from Robinson SS about all night graduation party
· paid storage unit bill for full year
o $44.10 per month for full year ($49.10 if paid month by month)
o money from county grant has not yet arrived-- we are owed $1972.00
· liabilities
o insurance due in March
o Fairfax citizen’s organization--no bill sent, so we haven’t paid membership yet
o VA corporate commission--$75
o newsletter cost $415 from Allegro printing
§ last bill seemed high, but it is correct---invoice was incorrect, but amount correct
Membership Committee: Al and Sandy Obuchowski
· 391 members
· 475 directories ordered (for this year and next year)
o next year we will do an addendum of new members to insert into directory
· suggestion to bring back inceptives for the block captains to increase membership
o prize drawing for all who get 100% membership
Continuing Business—Issues
· entrance maintenance (landscaping)
o communicating with current company (Mowing and Towing) to renew contract
o we are pleased with the service and want to renew the contract with a few revisions
o remove brush that piles up behind the old signs
· neighborhood watch—Jessica Summer (presenting for Tim Hish and Greg Summer--not present)
o lots of incidents—read the article in the newsletter
o recommendation to be careful—close your garage and lock your cars
o thanks to those people who have shown up for their neighborhood watch shifts
· FC neighborhood enhancement Partnership Program (two letter board signs at entrances)
o still waiting for the funds from the county--we are owed $1972.00
Continuing Business—Events
· holiday activities:
o thanks to everyone for working to make these events successful!
o decorating contest—winners listed on webpage
o Santa visiting neighborhood on a firetruck—great event! lots of candy for the children
o sand for luminaries—most of the sand was taken and used
· welcoming committee
o new members have volunteered to help Marian Littleton--Laura Baker and Beth Gantz
· Valentine’s Day surprise
o suggestion to send out “heart” sticky notes with the newsletter
o cost of $160 (from Oriental Trading) motioned and seconded—Tim and Rick; approved
· feed the firefighters
o meal provided Dec 31st; lots of food and cards made by kids
· Easter egg hunt—Saturday, March 31st at the park (Palm Sunday, April 1st is the rain date)
o we need to reserve the park
o we also need to order eggs (last year, Catie provided 860 plastic and 12 golden eggs)
· document shredding event—Saturday, (TBA, after tax day)
o Tiger Shredding will be hired from 10am-12pm at the park entrance
o computer disks can be brought for destruction, but no hard drives
· leaf pick-up and providing free leaf mulch
o these activities will be reviewed next fall
· suggestion from Donna Hosek to offer CERT emergency training for community
o there will be info in the next newsletter
· officer elections in May
o Al will start talking to some people who expressed interest in serving on the board
o the president and vice president serve for up to two years
o the secretary and treasurer serve for up to five years
